Seamlessly lookup customers and club members within CellarPass while providing automated discounts and exclusive experiences.

CellarPass has devised a distinctive and reliable technique for retrieving club member information from MicroWorks, allowing CellarPass to leverage its capability to identify club members, automatically implement discounts, and grant access to exclusive Reservation-based offerings.

By opting for this service, CellarPass will obtain a club member data file that will be transmitted from your local MicrosWorks database to a designated Amazon S3 folder for CellarPass. Subsequently, CellarPass will execute code that encrypts the file and imports it into the CellarPass database as a provisional table.

WHAT BENEFITS DOES THE INTEGRATION OFFER?

Safe, secure and automated way to temporarily import your club member's contact and club information into CellarPass.

Book club members faster via the CellarPass backoffice booking interface. The system will automatically recognize them by entering their email address.

Create club member-exclusive discounts based on club membership = yes or no. You can also discount based on the MicroWorks ClubDescr field from MicroWorks on a per "tier" and EventID level.

Provide exclusive access to club member-exclusive Reservation-based events.

STEP 1. ENABLING & SETTING UP THE MicroWorks INTEGRATION‍

Follow these steps in order to enable the MicroWorks + CellarPass integration

1. Submit a support ticket to the CellarPass Technical Support site by going to https://www.cellarpass.com/support. Be sure to include your property's name with the request.

2. After to agreeing to the CellarPass terms & conditions which will be posted to the ticket, contact MicroWorks to alert them that you will be enabling this service.

3. MicroWorks will alert CellarPass once they have received authorization by your company and let our team know when to expect the first scheduled file delivery.

4. CellarPass will allow the extract to run for several days to make sure that the delivery and file format is consistent and accurate.

5. Once confirmed, CellarPass will update the support ticket with the date that the support team plans on enabling the service.

6. Once the service is running, the CellarPass team will update the ticket and let you know that that the configuration is complete.

STEP 2. CONFIGURING CLUB MEMBER TIERS‍

Before moving onto Step 2, you must have all the tasks in Step 1 completed.

1. Confirm that at least one MicroWorks Club Member import task has been completed.

2. Click Business in the left-hand menu

2. Select Account Types from the submenu.

3. To the far left, there will be a checkbox. Click each checkbox for the Contact Types you would like to use within CellarPass for automated discounting.

4. Please note that unless your subscription integrated with CellarPass, the "default" function is not supported.

5. Once you have configured your Contact Types in CellarPass, click the Save button in the type right-hand corner of the page.

6. You can now skip down to the Configuring Automated Discounts below.

STEP 3. SETTING UP AUTOMATED DISCOUNTS (Reservations)

1. Log into CellarPass backoffice by going to https://www.cellarpass.com/manage

2. In the left-hand main menu, select Experiences.

3. Next, select Events from Experiences submenu

4. Locate the Reservation-based event you would like to apply an automated discount to and click the name of the event to the left.

5. Click the Discounts tab from the pop up window.

6. The next screen will display any applicable Promo Codes you may have previously created. Below that section, you will see a list of your Contact Types with dropdowns.

7. For each of your Contact Types, use the dropdown menu to apply the appropriate automated discount.

8. Once you have setup each of your Contact Types, click the Save button.

As with all configurations like this, we recommend that you test each of the types of discounts. To do so, you will need a Guest account that can be used to sign into the CellarPass booking engine to confirm the test is working properly.

MANUALLY IMPORTING THE MICROWORKS CLUB MEMBER FILE

In the event that you require the MicroWorks file to be imported manually, please contact CellarPass support for additional information.

NOTE: CellarPass does not create CellarPass user accounts until the guest is either booked through the CellarPass backoffice, CellarPass mobile apps or the guest books on their own. Each time the automated import takes place, this is a "wipe & replace" procedure which means that any club members that have cancelled since the last import will not appear as a recognized customer and/or club member in the CellarPass admin panel, unless they have a reservation or ticket order.
