Seamlessly lookup customers and club members within CellarPass while providing automated discounts and exclusive experiences.

The integration between CellarPass and OrderPort provides many features that helps provide a robust guest management solution. CellarPass Plus, Pro or Enterprise subscription plan required. Benefits of the Integration

One of the main benefits of integrating CellarPass with OrderPort is the real-time data integration which takes places in several areas of CellarPass.

1. When a Guest books, if their customer record is not found in OrderPort, their information will be automatically uploaded into OrderPort upon booking.

2. When Guest books, they can be immediately recognized as a club member. In return you can provide automated discounts.

3. When booking via the backoffice, you can search for the guest directly in OrderPort within CellarPass.

4. When booking via the backoffice, recognized Guests will display their club member status. Discounts are not automatically applied on backoffice reservations.  Use the discount feature or manually adjust fee to provide club member price.

5. Reservations that are complimentary or pre-paid, can be upserted into OrderPort as a Sales Order.

Step 1. Enabling the OrderPort Webservice Account

One of the first steps is to contact CellarPass to enable the OrderPort service. To do so, you must submit a support ticket.

Once the service has been enabled, we'll notify you via the support ticket.

You will also need to contact OrderPort support to enable API access for CellarPass. Once this has been enabled, you will need to follow these steps.

  1. Log into OrderPort admin panel
  2. Select UAPI
  3. Select CellarPass details
  4. Select API Access
  5. Enable all 2 options (Orders Feed, Customers Search) (Customers Upsert currently not supported by OrderPort)
  6. Click Save.
  7. You can then you can follow Steps 2 - 4.

Step 2. Determining Your OrderPort ClientID

You can obtain the Client ID by logging into OrderPort, select Account Settings. It’s listed at the top of this page.

Step 3. Setting Up OrderPort Integration Credentials in CellarPass

Next step is to setup the OrderPort credentials in CellarPass for OrderPort. Follow these steps.

  1. Go Settings.
  2. Select Member Configuration
  3. Scroll down to the OrderPort Section
  4. Click to expand, revealing the credentials form.
  5. Enter your OrderPort Client ID in the correct field. If you don't know your OrderPort ClientID (see section 2 above)
  6. In the API Token field, copy and paste this HEhcSNzcyYN$nYcFrHFZsWBn!yv-z!h8MZUc69V?gpCHvUhgLG
  7. In the API Key field, copy and paste this 43fe885e-f1b1-4d86-a507-07afce897f19
  8. Click Save.

Step 4. Syncing Club Levels

Now that our systems are integrated, we can test to make sure it's working.

  1. Click Settings
  2. Click Manage Account Types
  3. Next, for all the club levels, check the box on the left you wish to use to provide automated discounts or exclusive booking access.
  4. Set the "default" bubble to any of your tiers as this is not used with OrderPort.
  5. Click Save.
  6. If you do NOT see anything on this screen, repeat Step 3 as your credentials are not properly set.

Step 5. Testing the Connection

  1. Now that you completed steps 1 through 4, it's time to test the connection.
  2. Select Book & Sell from the left navigation menu.
  3. Select any of the available Event Times like you would normally do to attempt to book a guest.
  4. Click the Match button. This will open up a new window that will allow you to search directly into your OrderPort database.
  5. Enter a valid email address for a club member that you know exists in OrderPort.
  6. Click Search
  7. If the integration is setup properly, you will get results. If this loops indefinitely, you'll need to review Steps 2 & 3 and try again.

Step 6. Setting Up Automated Discounts & Exclusivity

Now that you have your clubs sync'd we can move onto creating automated discounts

  1. Select Reservations from the left navigation menu.
  2. Select Create & Manage
  3. Click the Edit button to the left of the EventID you wish to apply discounts or make exclusive.
  4. Click the Discounts tab.
  5. In the available drop down menus, select the appropriate discounts.
  6. If you want the program to not discount, but only provide exclusive access to the Club or Tier, click the "Required to Book" checkbox and select "Access Only" from the dropdown menu.
  7. Complete the rest of the tiers as required to meet your requirements.
  8. Click Save.

Step 7. Order Syncing

if you are planning to upsert pre-paid (or complimentary) reservations as an order into OrderPort, you will need to complete the following:

  1. All Events must have a SKU entered, do not enter the OrderPort Part Number.
  2. All Add-Ons and UpSells must have a SKU entered, do not enter the OrderPort Part Number.

Step 8. Troubleshooting

If you don't get any matches for Guests that you know 100% sure are in your OrderPort database, then the connection is not working.Please submit a new technical support ticket reporting of this issue and our teams will look into as to why the connection is no longer working.

For further assistance with troubleshooting your connection, we recommend the following steps:

1. In the CellarPass admin panel, go to "Business" from the left-hand main menu.

2. Select "Apps & Integrations"

3. Scroll down to the OrderPort section. Click the section to expand it if it's not already expanded.

4. Click the "Test Login" button.

5. If this fails, then there are two possible solutions; The app service credentials are not correct or your webservice, which we recommend checking the two values (username and password) and entering them again. Or your webservice account is NOT active with OrderPort. We recommend contacting OrderPort for assistance.
